Factory Audit & QC
What to Look for During a China Supplier Video Factory Audit
When overseas buyers conduct a video factory audit of a Chinese supplier, it's crucial to look beyond just the sample room and product displays. A truly valuable video audit should focus on the factory entrance, business license, production workshops, equipment, warehouse, packaging area, quality inspection processes, and orders currently in production. This approach helps determine if the supplier is genuine and capable of fulfilling your order.
I. Why You Can't Rely Solely on Supplier-Provided Information
Many Chinese suppliers send product images, company profiles, factory photos, and quotations to overseas buyers. While these materials can be useful for reference, they don't fully guarantee a supplier's reliability.
* Some suppliers might be trading companies.
* Others may use photos from their partner factories.
* Even if a supplier genuinely owns a factory, their production capacity might not be suitable for the buyer's specific order.
* Some suppliers excel at samples but have unstable mass production management.
Therefore, the focus of a video factory audit is not merely to watch a supplier showcase products, but to verify the actual production situation behind the supplier.
II. What to Prepare Before a Video Factory Audit
Before conducting a video factory audit, buyers should prepare a simple checklist. Don't wait until the video starts to decide what you want to see. This can lead to the supplier guiding you, showing only offices, sample rooms, and showrooms, while overlooking truly important areas.
Buyers can prepare the following information in advance:
- Supplier company name
- Factory address
- Images of products to be sourced
- Target purchasing quantity
- Key concerns or questions
- Whether to inspect the production line
- Whether to inspect the warehouse
- Whether to inspect the packaging area
- Whether to inspect the quality inspection process
- Whether photos or screen recordings are needed for documentation
If buyers don't understand Chinese, they can also engage a local China sourcing agent to assist with the video factory audit on-site, helping with communication and verifying details.
III. Key Areas to Focus On During a Video Factory Audit
First, inspect the factory entrance and address. At the start of the video call, ask the supplier to show the factory exterior, entrance sign, company nameplate, and surrounding environment. Buyers should confirm that the factory name matches the information provided by the supplier.
Second, review the business license or company documents. Buyers can request the supplier to display their business license, verifying the company name, address, and business scope. The company name on quotations, contracts, and payment accounts should also be consistent.
Third, examine the production workshops. The production workshop is a key focus of a video factory audit. Buyers should look for actual production lines, manufacturing equipment, workers in operation, and whether relevant products are currently being produced.
Fourth, inspect equipment and production processes. Different products require checking different types of equipment. For furniture, observe woodworking, upholstery, painting, and packaging stages. For lighting fixtures, look at assembly lines, aging tests, and inspection equipment. For machinery, inspect processing, assembly, and testing sites.
Fifth, examine raw materials and the warehouse. The raw material area can indicate if the factory is prepared for production. The finished goods warehouse can show whether order management is standardized. If raw materials, semi-finished goods, and finished products are mixed without labels and proper classification, there's a higher risk of incorrect, missing, or quality issues during shipment.
Sixth, inspect the packaging area and quality inspection process. Export orders place significant importance on packaging. Buyers should check outer cartons, inner packaging, labels, shipping marks, moisture protection, and fragile item protection. Simultaneously, understand if the supplier has QC personnel and if they conduct functional tests, appearance checks, dimension checks, or maintain sampling inspection records.
IV. Video Factory Audit Checklist
Overseas buyers can focus on confirming the following points:
- Is the factory entrance clear?
- Does the address match the provided information?
- Is the company name consistent?
- Can they display their business license?
- Are there actual production workshops?
- Is the corresponding production equipment present?
- Are workers actively engaged in production?
- Do they have experience with similar products?
- Are raw materials and finished goods properly classified?
- Is the packaging method suitable for export?
- Is there a quality inspection process in place?
- Are they willing to cooperate with a pre-shipment inspection?
If all these points can be clearly demonstrated, it indicates a high level of supplier cooperation. If the supplier consistently avoids showing workshops, equipment, warehouses, or quality inspection processes, buyers should conduct further verification and it's not advisable to proceed with payment based solely on a quotation.
V. Risks to Be Aware of During a Video Factory Audit
First, don't rely solely on pre-recorded videos. While recorded videos can serve as a reference, it's best to conduct a real-time video call. Live video allows buyers to make impromptu requests and inspect more details.
Second, don't just look at the sample room. The sample room does not represent production capacity. Always inspect the workshops, equipment, warehouse, and packaging areas.
Third, don't just listen to the supplier's verbal descriptions. It's not enough for a supplier to say, "We are a factory"; buyers need to see on-site evidence.
Fourth, don't treat a video factory audit as the final quality inspection. A video audit primarily helps determine if the supplier is genuine and possesses basic production capabilities. After mass production is complete, it is still recommended to arrange a pre-shipment inspection.
